• Direct Submissions: When you request a 14-day free trial or enterprise demo, we collect your full name, work email address, website URL, and estimated monthly customer conversation volume.
• Chat & Inquiries: Any support inquiries, feedback, or test conversations conducted through our website widget or interactive simulator.
• Technical Data: Standard server logs, including your IP address, browser type, device information, and access timestamps for rate limiting, security monitoring, and abuse prevention.
• Aggregate Website Analytics: We use Cloudflare Web Analytics to measure visits, page views, referral sources, approximate location and device information, and website performance. It operates without analytics cookies and does not track individual visitors across websites.

2. How We Use Information

Your information is used strictly to:

• Process and activate your free trial account or schedule enterprise consultations.
• Send transactional emails, service updates, and onboarding assistance.
• Understand aggregate website traffic and maintain, analyze, and optimize website stability, performance, and security.

3. AI Privacy & No Model Training Policy

We do not sell, rent, or monetize your personal data. Furthermore, documentation, proprietary PDFs, or customer chat transcripts connected to Welcomoo are never used to train public foundation AI models or shared with third parties for machine learning training.

4. Data Sharing & Sub-Processors

We share data only with essential cloud infrastructure providers under strict confidentiality agreements:

• Hosting & Storage: Railway Inc. (Secure application hosting and database infrastructure).
• Email Delivery: Resend Inc. / SMTP relays (Transactional notifications).
• Analytics & Bot Protection: Cloudflare Web Analytics and Turnstile (Cookie-free aggregate traffic measurement, website performance monitoring, security verification, and automated abuse prevention).

5. Data Retention & Your Rights

Direct trial and demo submissions are retained for up to 90 days by default, unless a different period is required for legal or operational reasons. In accordance with applicable privacy laws, you may request access, correction, or deletion of your personal information by contacting support@welcomoo.com.

By accessing Welcomoo ("the Service"), requesting a free trial, or deploying our widget, you agree to be bound by these Terms of Service. If you are entering into this agreement on behalf of a company, you represent that you have the authority to bind that entity.

Welcomoo provides an AI customer support copilot platform designed to resolve customer inquiries using Retrieval-Augmented Generation (RAG) grounded in customer-provided documentation.

3. Use of AI & "As-Is" Warranty Disclaimer

Welcomoo employs advanced retrieval systems to minimize inaccuracies. However, AI responses are generated algorithmically. The Service is provided on an "AS IS" and "AS AVAILABLE" basis without warranties of any kind, whether express or implied. Customers are responsible for configuring fallback rules and supervising automated communications.

4. Customer Content & Intellectual Property

You retain 100% ownership of all text, documents, PDFs, and proprietary data you provide to Welcomoo. You grant Welcomoo only a limited license to process this data for the sole purpose of providing support responses to your visitors.

5. Acceptable Use

You agree not to use the Service for unlawful activities, harassment, distributing malware, or processing prohibited sensitive data without prior contractual agreement.

6. Limitation of Liability

To the maximum extent permitted by applicable law, Welcomoo shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of your use of or inability to use the Service.
